CP Manager Is The Absolute BEST Insurance Agency Management System For Small Agencies
Many Of Our Decisions --Like The Price-- Were Based Around The Needs Of Small Agencies.
First, before sharing our pricing strategy, which is one of the benefits listed below, I first need to share a very important point...
The key to your decision should be based upon the results achieved from the system, and nothing will increase your monthly cash flow and profits more than increased productivity! Like the saying goes...
"Increased productivity equals increased profits"
We already know we have the most productive system available. For this reason alone CP Manager should be an easy decision.
However, Mr Chesnut having worked with agencies for over 25 years we know price plays a bigger role to small agencies than it should. Mr Chesnut has point out many times how he's watched so many small agencies make a decision based upon price over increased productivity and end up with a very inefficient system heavy in double-entry and weak in Commercial Lines, and then needing to hire a CSR before they're financially able to afford bringing on a CSR!
Picture the productive system allowing you to get an extra 168 hours of work done each month (here's how we came to 168 hours) because you're far more productive and what that will do for your agency helping you to grow your agency and hold off on how long before you need to bring on a CSR. This is pivotal to helping the new agency and small agency have the resources needed to grow their agency!
Our President Mr. Chesnut has always had a soft spot for smaller agencies knowing the challenges they face to get traction in their market place and grow their agency. Because of this, as he designed CP Manager, he made sure it would also support the unique needs of the small agency. Following we're going to discuss why CP is the absolutely best agency management system for small and new agencies.
The Top 14 Reasons Why CP Manager Is Your Best Option If You're A New Agency or Small Agency...
Smaller Agencies NEED Their Staff To Manage A Larger Book Of Business
The larger the book of business each staff person can manage the longer you can go before you need to hire another CSR. This is important for small agencies because they just don't have the money to bring on staff too soon.
But even before you get to the point of hiring CSRs, when you're a one-man operation doing the selling and servicing both, an efficient system becomes even more critical! You need to be able to develop a large enough book of business to support bringing on a CSR without creating an immediate financial hardship for the agency.
On top of this a hosted system becomes invaluable because it allows you to handle your work from any device wherever you are, whether at an office or at home or at a clients home or business. Accessibility to the system and having mobility really helps you be able to get your work done.
The bigger the book of business you manage the more commissions coming into the agency (per person) to support your growth. Too often agencies purchase an inefficient system and are capped too soon on the size of book they can manage before needing to hire a CSR which puts them in a financial hardship.
Along with this, when you first start out you're in a sales and marketing mind frame. You're out there day in and day out developing leads and writing business. What happens too often is your time starts shifting from new business development to service work putting the brakes on the sales and marketing side of the business.
We don't want you to lose your momentum of bringing in new clients and writing business which is another reason having a highly productive system is so important to you.
The Client And Policy Records Should NEVER Be Locked Down Because It Hinders Your Work And Slows Down Handling A Task!
Every system from what we've seen locks down the client record and policy record when you do something like add a Note forcing you to finish what you're doing before you can move on to do the next thing needed.
But think about this... We don't work in single actions. We instead open up (or would like to open up) all of the windows needed to do the task at hand and bounce between them as needed.
In CP Manager we don't lock down your client or policy record but instead open up each item in a new tab. This is Notes, Follow Ups, Contacts, Policies, Policy Detail, etc, etc, etc. For example, you could have contacts opened up, Notes opened up, a new Note being added, their home owners policy opened up, their auto policy opened up, or with a commercial property you could open up all of the Premises for the Property policy at the same time.
The image shows two client records opened up and multiple items opened up for each, all in their own tab. This is yet another powerful feature of CP Manager to help you more quickly service your clients.
X-Dating Policies And Managing Prospects Is Easy in CP Manager
The new agency and small agency lives on X-Dating and prospecting. It's more common than not that you'd talk to someone and learn their policy doesn't expire for another 9 months and they don't want to switch policies mid-stream (unless of course the premium is significantly less) so you X-Date them.
X-Dating is a specialized policy task. Knowing this we added a policy status "X - X-Dating". Then from our Advanced Policy window you can search for X-Dates by Month and work them like you would a renewal. We handle X-Dating very effectively.
In addition, you can Classify your records by whether they are a Customer, Prospect, Suspect and 3 other options (see image).
We also added a Recall Date, Time and Purpose on the client record which is managed at the My Activities page (see image) to easily follow up with prospects to turn them into clients.
Managing prospects and X-Dates is very important to the new agency and small agency. CP Manager gives you the tools to manage these two very important tasks!
A System Which Will Efficiently Handle Both Personal Lines AND Commercial Lines!
Creating a mono-line personal lines system is easy and takes a lot less time and money to develop. It's not surprising low priced systems are predominately personal lines driven. A good percentage of the agencies moving to CP Manager are heavier in commercial lines and are just done with trying to make a predominately PL system work for their CL business.
We built CP Manager to be a Commercial Lines Powerhouse while still keeping our price low! We've even done some amazing design work on Certificates to greatly simplify your life. For example, you can globally process Certificates which will email out the certificates to those who want to receive it by email, fax it to those who want to receive it by fax and print it for those who want it mailed to them.
Agencies are also very impressed with how easy it is to add a client record, both a PL and CL record. Policies are just as easy. Take a look at the first image to the right. Click on it to see it enlarged. While looking at it notice the fields with a red exclamation mark (!). These are the required fields. And of the 5 required fields for CL and 6 for PL 4 of them are auto-populated based upon the Default Values you setup on your staff record.
The second image shows the policy at the client record with the sections of the policy showing so you can see exactly what sections are included in a package policy. Double click on the policy to open it up.
We knew building the commercial lines side of a management system is the most difficult which is why we built it into CP Manager right up front. This allowed us to make whatever table structure changes we needed to so could create an extremely easy to use, efficient and single-entry Commercial Lines management piece to CP Manager.
Bluntly, it's very impressive what we accomplished with Commercial Lines!
Unless You Have Direct Contracts, You're Doing Everything Manually And Aren't Benefiting From the Time-Savings of Downloading
Not only this, of the 2,000+ carriers only a little over 400 are downloading. This means if you're doing business with the 75% of them who don't download (or MGA's) you're processing all policy tasks manually. I suppose we should also point out that even with the carriers who do offer downloading they don't download all of the Lines Of Business they offer.
CP Manager is extremely efficient when having to manually process policy tasks. This is where being single-entry really plays a big role and having all of the business logic built into CP Manager to simplify manually handling policy tasks. For starters take a look at the automated task buttons at the top of a policy (click to see enlarged)...
The first image to the left shows the Renew Policy task. The next one shows the Renewal Re-Write where you renew it with a different carrier. Think this will make it faster and easier to handle policy tasks?
Absolutely! And all policy task have defaults entered based upon the task you run to more quickly handle the policy task and make handling a policy task a lot easier.
Along with all of this CP Manager was built with a very elaborate Endorsement & Renewal Management functionality. We took both of these two very common and important policy tasks to a much more efficient and simplistic approach.
Knowing you'll always have policies that aren't downloaded we made absolutely sure you could manually process policy tasks with ease!
Shockingly, there are numerous systems out there which only support downloading and make manual entry of data very difficult. After 25 years in this industry and our intimate knowledge of this industry we knew we needed to both downloading and an easy way of manually entering data.
Going Paperless Will Also Allow You To Be More Efficient
If running a truly paperless agency is your intent (and it should be because you'll be more efficient and have all client information at your fingertips 24/7/365), you can easily accomplish going paperless with CP Manager by:
- Having your signature attached to your staff record to be placed on ACORD forms (see image),
- With our powerful DocuSign Integration (add-on), and
- With our Document Management Attachment feature (see image, shows the view window).
As you're looking at the image showing the Attachment View window, notice:
- You can Flag it to quickly jump back to it if you're still working with this attachment
- You can add a Note to it. The Note shows up wherever you attached it like to client notes and policy notes. When you view this note from the client notes or policy notes there's also a button to view the attachment the note was created on. CP Manager is very integrated!
- You can email it as an attachment or fax it. When creating an email, fax or using the Print Manager you can select attachments to be included.
- You can put security Permissions on it and choose who can view this attachment.
- Obviously you can view it.
There's a lot more you can do with attachments than what I showed here. We completely overhauled Attachments and re-engineered them to be far more integrated in the system and to give you far more ways for you to use attachments in the system.
Easy-To-Use Is Far More Important To The Smaller Agency
It is! This is because:
Easy-to-use is all about saving you time and saving you money, both of which the small agency doesn't have much of!
Plus, you'll have staff efficiently using the system far faster keeping your clients happy.
CP Manager is ridiculously easy to add clients and policies. The majority of my clients are commercial lines and having worked on quite a few other systems CP Manager is a lot easier to enter in client and policy information and it’s a lot faster. Kudo’s, I’m very impressed including with how single-entry you’ve made CP Manager.

A System Which Will Support Your Growing Agency
Traditionally, for many years, small agencies would purchase a low priced system and then as they grow and became more financially stable they'd move to a better system to better meet their needs putting them through, once again, the interruption of adding a new system into their agency. This ends with CP Manager!
For the small agency CP Manager is the most productive system available and is one of the lowest priced systems available. The difference is CP Manager was designed for large agencies and offers large agency features, including the ability to very efficiently and quickly support your commercial lines business. CP Manager was designed to grow with you.
Then, if you want to take your agency to a whole new level, we'll be introducing the TIME System in about 2 years. You can easily upgrade to it, but get this... There's no cost to convert the data, you won't lose one iota of data and there's no new learning curve (just more buttons to run more features). This is yet another first for this industry.
Both short term and long term, when you choose AAT as your automation vendor we will save you a lot of time and a lot of money! For example, if you're already on a system, moving to CP Manager will be the last time you'll need to go through a data conversion, have a minimal interruption in your agency (minimal because we know how to transition agencies to CP Manager), and go through a new learning curves.
We planned for all of this day one because we're experts in agency automation, and have a clear understanding of the evolution of an agency and how their needs grow and change as the agency grows.
CP Manager Will Help You Get Contracts With Carriers
Here's Another Exclusive Feature of CPM.
We built into CP Manager the ability to capture the Parent Company for policies written through MGA's, Aggregators, etc. You could write, for example, Safeco policies through numerous other agencies. Where the Billing Company would be the agency you wrote it through (because they're the one's paying you the commission on it), the Parent Co for all of them would be Safeco.
This allows you to run a report showing ALL policies written through a specific Parent Company to see if you have written enough business to meet their production requirements to get a direct contract with them.
Small agencies have specific needs from their agency management system. We understand what those needs are and built CP Manager to help you grow your agency.
CP Manager Strategically Planned For Writing Business Through MGA's, Aggregators, Etc. To Support How Most Small Agency's Write Business
We knew small agencies and new agencies wouldn't have direct contracts with carriers and instead would write business through MGA's and other agencies. We planned for this!
Here's one example. Take a look at the image to the right of a Billing Transaction line-item created in CP Manager for a Premium Financed policy. There are two methods of how the money gets sent to the carrier... 1) The Premium Finance company sends it directly to the carrier, or 2) It's sent to the agency who sends it to the carrier.
The option is set by the carrier, but with an MGA where you can write through many carriers you need to have control of this option at the B-Tran level, which we put in place.
This is just one of many examples of how we support your working through MGA's. A walk-through or discussion with us will show you more.

Easily Handling Your Accounting Needs
We are fully aware that agency accounting can be intimidating if you've never done it before, but once you start an agency you need to figure it out fast.
We have painstakingly strived to create a push-button-easy accounting system. Everything we've put in place we've asked ourselves how we could make it easier without losing the flexibility needed in an insurance accounting system. Wherever we could create a button to handle a task we did. One button click to handle a task, here are a few examples...
The accounting in CP Manager is very powerful and very flexible. Handling Agency Bill business is a breeze including taking Partial Payments, creating installments, handling Premium Financing, globally sending out monthly Statements, etc!
You can even print or email an invoice to a new client to get a down payment without Posting the B-Tran to support "real world agency practices".
You can even add an Agency Fee which is an Agency Bill transaction on a Direct Bill B-Tran and only invoice the client for the Agency Fee.
CP Manager's accounting is powerful and flexible. Maybe that's because we hired a 30 year insurance accounting expert to design a lot of it.
CP Manager Fully Supports Hiring Virtual Staff Who Work From Their Home
When the cash flow to your agency isn't enough to afford an office, or if your business model is to bring on staff (once needed) before spending the money on an office, you must have a hosted management system and everything you do needs to be attached to client records so everyone has access to this information.
It can actually be a smart agency decision to invest limited funds into staff over an office, especially for the small agency. For one it increases the profits to the agency by not having to take on the many expenses associated to having an office.
This also makes it a whole lot easier to bring on Producers to help you grow!
With the technology available today -- including VOIP office phones -- running a virtual office, even if for just a short time while you're building your book of business, could help your agency build the commissions needed to meet other key investments you want to make into your agency.
CP Manager supports Virtual Employees and Producers exceptionally well. It's hosted, everything is built into the system including Correspondence, everyone has access to CP Manager and client information, and you control the security in the system to control what each person can see and do in your CP Manager system.
Speaking of Security, you won't find this level of security until you get into the more expensive systems like Epic and 360. You will really like how much control you have over what your staff can see and do in CP Manager!
CP Manager Is One of The Lowest Priced Systems Available
We know the value of CP Manager. We know how we compare to the other systems in the market and how we're able to help agency staff manage a larger book of business which will allow an agency to be more profitable.
Remember, our President has been serving agencies helping them with their automation and to increase their efficiency for going on 30 years now.
We also know small agencies have a very small budget, and we know price more times than not will play the biggest role on which management system they'll select. We don't agree with this knowing what we know about agency automation and how increased productivity increases the agency profits, but we understand it.
Unfortunately we also watch these price shoppers end up spending more money in training and other costs which makes the low cost system they purchased more expensive than other systems. They saved money in the purchase of the management system but are paying out more money ongoing.
Take a look at the "Big Savings Owning CP Manager" informational page and see how new agencies and small agencies are able to become profitable faster and grow their agency more strategically.
Our list price for 3 users over 3 years is less than 81% of the 22 systems we have prices on. This is intentional because small agencies desperately need a highly productive system so we priced CP Manager to be affordable for all agencies regardless to size.
CP Manager is easy, super easy to learn and use. This in itself will save you a lot of money.
Then we made the decision to price CP Manager so any agency, regardless to size, can afford it. On top of this, check this out...
We Give You Two Budget Friendly Ways To Purchase CP Manager!
Up until about 10 years ago agencies would purchase a management system with a higher upfront cost and lower month to month support fees. Over the past 10 years this pricing structure has flipped to a lower upfront cost and a larger month to month support fee.
At this point almost all vendors solely offer the lower upfront option with the higher monthly fees. This approach has eliminated the need to take out a loan at today's high interest rates to finance the purchase of a management system.
Being focused on our clients and their financial goals and budgets, CP Manager offers both options. In fact, you can even do a hybrid of the two. You determine how much you want to pay upfront which will establish the monthly support fee amount. Or you can determine the monthly amount you can afford (there's a minimum amount) and we will adjust the upfront amount accordingly.
Both purchase options have their advantages.
If you are concerned with the upfront amount due to just starting out and not having a lot of upfront cash then you can go with the lower upfront option.
If you're watching your monthly expenses and this is your main concern then you can go with the larger upfront option which will have a lower monthly support fee.
You decide based upon what's best for your agency!
